Timeline for Reunion Planning

PHASE 1 - February/MarchAwareness of the date and class years - please look for a mailing from the Alumni Office with a SAVE-THE-DATE magnet and other information for upcoming reunions that will take place over Homecoming Weekend in the fall.  Getting the date on calendars will ensure a good turnout of classmates.  Those who wish to help with planning your class reunion should call me in the Alumni Office.  During this period of time we want to make alums aware of the Homecoming date and remind everyone which classes are celebrating a reunion.  It is never too early to start planning your reunion.
 
PHASE 2 - April/May/June/ JulyReach out to classmates/confirm contact information – Reaching out to classmates by phone or email is the most important component and the most rewarding part of a reunion volunteer’s duties.  Your enthusiasm and inclusiveness will encourage others to attend.
  • At this time you will help us update our contact information and recruit other class members to help ensure good attendance at the reunion.  It is a proven fact that the more people a class enlists to help with a reunion, the larger the attendance at the reunion festivities. 
The Tower Hill Alumni Office will help with a list of classmates and contact information.  Please call or email me to get this phase of the planning off to a good start. 
  • Please give contact updates to our office as you encounter new information while speaking with your classmates because it helps with planning and mailings to have an up-to-date class contact list.
It is never too early to start contacting your classmates and this phase will continue through the summer and leading up to your reunion.

PHASE 3 - June/July/August – Selection of venue for class gatherings – Each class likes to celebrate their reunion differently.  Most classes enjoy a class gathering following the Reunion Cocktail Reception which is usually 5:00-7:00pm on Saturday at the Hayward House. It is during this reception that your class picture is taken by a photographer.  Afterwards, whether you are in a classmate’s home for dinner, or a restaurant close to campus, it is important to decide on a venue early in your planning to ensure reserving of scheduling a location for your class to get together. The fall is a very busy time of year in Wilmington with other school reunions, weddings and family get-togethers and it is in your best interest to decide on a place for your class gathering early in the planning phase.  We are happy to make some suggestions of suitable places in the area if you call or email us.  A list of locations is included in this handbook.

After that decision has been made, your class needs to communicate with your classmates either through mailed invitations or email invitations.  The Alumni Office will help you with this and we will help with any postal expenses you may encounter.  Knowing where you will gather will help to estimate your costs which you can include in your invitation.  While all events on campus are without cost for alums, individuals usually split the expenses for the class gathering.  If it is necessary for a classmate to put down a deposit to hold a restaurant, it is necessary for that person to be reimbursed and the cost for the evening is to be shared by all attendees.

A list of locations that have been used by other classes is included in this handbook.  In addition, there is a list of hotel accommodations in the areas that we have used in the past and where there may be a special rate for THS alums over Homecoming Weekend.   This information is also on the website.
 
PHASE 4 - July/August/September/October and through the end of the fiscal year which is June 30 annually– Reunion giving – Race to Reunion is a fundraising initiative which targets alumni who are celebrating 5-year reunions.  (50th Year Reunions are handled separately.)  The goal of this effort is to increase alumni support to Tower Hill’s Annual Fund through a blast of emails and special mailings challenging members of reunion classes to demonstrate their school spirit and pride by contributing to the Annual Fund.  As a reunion committee member, we hope to have your support, but the emails and written solicitations are done through the Alumni Office.  We will chart the top classes in Dollar Amounts and Class Participation in the school’s Annual Report.

Look for the Homecoming Flier with Schedules and Information, which is mailed early September. Homecoming Schedules also can be found in the Bulletin Magazine, which mails in early September. The most current Homecoming and Reunion Weekend information is on our website www.towerhill.org/homecoming
